๐ Folder Options and Folder Management in Mailbird Next
Folders are the foundation of email organization in Mailbird Next. We're constantly focused on making folder management faster, clearer, and more flexible with every product updateโwhether you are handling a high-volume inbox or maintaining a detailed folder structure.
This article explains how to manage folders in Mailbird Next and highlights certain features that improve speed, visibility, and ease of use.
๐๏ธ Understanding the Folder List
The folder list displays all available mail folders for your connected email accounts, including default system folders and any custom folders you have created.
Key features of the folder list include:
Displays all system folders (such as Inbox, Sent, Drafts, Trash) and custom folders.
Remembers whether folders are expanded or collapsed between app launches.
Shows unread message counts as badges next to each folder.
Supports high unread volumes, displaying up to 999+ unread messages.
Helps manage large or busy inboxes more efficiently.
๐จ Customizing Folder Appearance
Mailbird Next makes it easy to personalize your folder list so important folders stand out visually. Folder colors are particularly useful when:
Managing multiple email accounts
Working with large folder hierarchies
Prioritizing frequently used folders at a glance
You can assign custom colors to folders, making it easier to differentiate between categories such as work, personal, or project-based email. To do this:
Head to the Settings menu
Next, select the Folders tab
Here, click on three vertical dots that appear as you hover your mouse over a folder
All you need to do now, is choose a color for your selected folder (as shown below)
โ๏ธ Renaming and Organizing Folders
Folders can be renamed quickly from the Folders tab in the Settings menu, following the same process which is explained above.
Alternatively, a much quicker way is by simply double-clicking the folder's name in the list of folders down the lefthand side of Mailbird Next's interface. This action will open a pop-up window where you can edit your folder's name instantly.
Folders can also be expanded or collapsed to reduce clutter, and Mailbird Next automatically remembers your preferred folder layout between sessions.
๐ฅ Moving Emails Between Folders
Mailbird Next offers several intuitive ways to move or copy emails. Messages can be dragged and dropped directly into folders, making inbox organization fast and natural.
Additional tools help when working with larger folder lists:
An improved Move/Copy dropdown with checkboxes for clearer selection
A built-in search filter for quickly locating destination folders when moving or copying messages
These features make organizing emails more efficient, even in accounts with extensive folder structures.
โ Best Practices for Folder Management
For an effective folder system, consider the following:
Group folders by purpose or workflow
Use consistent naming conventions
Apply folder colors for quick visual recognition
Combine folders with filters to leverage automation
A thoughtful folder structure can significantly reduce inbox clutter and improve productivity.
